These are the Bromley Masonic Hall Terms and Conditions of Booking. Please ensure that you read all the terms and conditions carefully before making an enquiry. Click Here for a pdf version of these Terms and Conditions that you can download.

1. “Bromley Masonic Hall Ltd” and “We” include Oakley House and or Bromley Masonic Club.

“The Client” and “You” means the organising body/company and organiser responsible for commissioning of and payment for the event.

The “Contract” means the agreement between Bromley Masonic Hall Ltd and The Client for a specific booking or series of bookings.

These Terms & Conditions will form part of the Contract, together with any other terms that maybe stated in the Contract.

2. No contractual liability for a booking has been accepted until a receipt has been issued by Bromley Masonic Hall Ltd to confirm the reservation.

3. The Client is deemed to be held responsible for the conduct of all persons attending the venue and is liable for any form of damage caused during the period of hire, also to ensure at all times that the Fire and Health and Safety regulations are adhered to.

4. The Clients booking is accepted by Bromley Masonic Hall Ltd only on the basis that a minimum guaranteed number of persons will attend the function for which the booking is made, the amount paid by the Client shall be calculated on such minimum number or the number actually attending, whichever is the greater.

5. The Client must inform Bromley Masonic Hall Ltd in writing not less than 7 days prior to the function the final numbers (no more than 10% increase from the minimum guaranteed number). The amount payable by the Client shall be calculated on this final number or the number attending whichever is the greater .All additional invoices must be settled with cleared funds before the date of the function.

6. Payment Schedule:
a) At the time of booking a deposit of the full hire charge to be paid. (Non refundable)
b) Three months before the function 50% of charges based on the minimum guaranteed numbers.
c) 28 days before the function the full balance must be paid based on the minimum guaranteed numbers.
d) Additional accounts must be settled 7 days before the night of the function, unless prior arrangements have been agreed by Bromley Masonic Hall Ltd. We reserve the right to charge 2.5% on all overdue amounts.

Cancellation must be in writing and taken from the date of receipt of your letter.

Cancellation Charges are as follows:
a) If cancelled between 9 months and 6 months prior to the date of the function 40% of total function using minimum guaranteed numbers given at time of booking.
b) If cancelled between 6 months and 3 months prior to the date of the function 75% of total function using minimum guaranteed numbers given at the time of booking.
c) If cancelled within 3 months prior to the date of the function 100% using minimum guaranteed numbers given at time of booking

We strongly advise Cancellation Insurance.

7. The management reserve the right to cancel any function due to unforeseen circumstances beyond our control or for any matter deemed necessary by the management and except no resultant responsibility financial or otherwise. However in the unlikely event every effort will be made to accommodate the function in another part of the complex. Bromley Masonic Hall Ltd will not accept any responsibility or liability for any loss of gifts or property when left in public areas or damage to vehicles using the car park and entry and exit roads. We have to advise you that, whilst we want you to enjoy your time at Oakley House, the car park and gardens are potentially hazardous places. This being so, it is essential that at all times children have responsible adult supervision when using these areas.

8. Guests are not allowed to consume their own food and drink on the premises. This includes Raffle/Tombola prizes.

9. Functions must finish at the times agreed when booking and extensions to the normal finishing time of 12:00 am may be sought, and the premises must be cleared by 1 Hour after the finishing time of the function including the entertainment.

10. The Client shall indemnify Bromley Masonic Halls Ltd against death, injury, damage, loss or any claim arising from the hire of the premises.

11. The sale of tickets at the door is not permitted.
12. DJ’s and Entertainers are required to have documented evidence that all equipment is PAT tested and certified electrically safe. (No Pyrotechnics or Smoke Machines on the premises). Additional electrical installations are not normally permitted and if required 21 days notice in writing must be given supported by documented evidence that all equipment is PAT tested and certified electrically safe.

13. Please note that Bromley Masonic Hall Ltd is subject to the Statutory and Licensing Regulations including those relating to fire precautions and entertainment.

14. The client should be aware that they only have exclusive use of the rooms they have paid for.

15. There will be an additional charge for an extension till 1am, with the exception of wedding receptions which have to be finished by midnight.

16. Payment by credit card subject to surcharge.
